If so, then we want you ~ We are currently searching for a Back Office Supervisor for our established Mesa Baywood location!

This position contributes to the company mission by supervising the back office MA team members by leading, planning and organizing the daily to monthly functions of the team.  This position works collaboratively with the Site Managers, Front and Back Office Staff, Providers, other Supervisors and Managers to ensure smooth back office operations, high quality patient care, and high patient, employee and physician satisfaction.

ESSENTIAL Supervisory Duties and Responsibilities:

  • Supervises the workflow and workload of the team to ensure an efficient patient flow
  • Performs daily stand up meetings
  • Rounds daily on employees
  • Assist all staff in daily functions as needed
  • Performs and documents one on one meeting’s with staff members (Monthly)
  • Coordinates and documents regular staff meetings (Quarterly Department Meetings)
  • Conducts all 30 day evaluations
  • Conducts all 90 day and annual evaluations
  • Conducts all annual evaluations in collaboration with manager
  • Provides input on employee coaching and improvement plans with the Manager
  • Tracks attendance and approves time off
  • Responsible for finding coverage when staff call out
  • Reviews payroll on a weekly basis of staff, ensuring accuracy for the Human Resource department.  Completes and submits payroll on a bi-weekly basis
  • Maintains staff schedules and adjusts according to the volume needs of the department
  • Works with other Back Office Supervisors to re-assign staff when there are call outs to ensure appropriate coverage at all clinic locations
  • Completes quarterly shadowing for service competency on all staff
  • Shadows staff on skill competency as needed to ensure proper workflow processes and procedures are followed
  • Ensures that employees are performing work in accordance with TCC policies and procedures
  • Responds to all urgent and emergent events
  • Provides initial and ongoing training to employees on all department job responsibilities and for new processes or updates that are implemented
  • Work with employees to correct deficiencies in performance or tasks
  • Assists Manager in interview/hiring process for open positions in the department
  • Collaborates with Manager in achieving patient, employee and physician satisfaction initiatives
  • Collaborates with Manager in the development and implementation of departmental policies and procedures
  • Independently compose, compile and prepare department newsletter and documents as assigned. (Can be monthly or quarterly)
  • Continues to further knowledge base through seminars, in-services, etc.
  • Complies with all OSHA and HIPAA policies along with all policies and procedures established by TCC
  • Utilizes AIDET/customer service standards and demonstrates TCC Standards of Behavior
  • Perform inventory control for supplies, placing orders to correct inventory deficiencies
  • Oversee proper use and obtain repairs of department equipment
  • Reports any facility issues to Manager
  • Maintains a professional and courteous environment
  • Maintains strict patient and employee confidentiality
  • Develops productivity reports as requested
  • Other duties as assigned

 

ESSENTIAL Job Duties and Responsibilities:

  • Performs all medical assistant responsibilities as requested in accordance with TCC policies and procedures
  • Verifies accurate chart prep before patient visit
  • Brings patient from lobby into the appropriate exam room
  • Accurately updates and records patient medications, allergies, pharmacies, risk factors, social history and family history in patient chart upon each visit
  • Obtains vital signs, EKG’s and rhythm strips as needed
  • Maintains supply inventory in exam rooms
  • Stays current on EHR initiatives relative to the Back Office Staff by attending training sessions, working with the EHR Trainer, and assisting in rolling out new processes with the staff
  • Rounds on patient exam rooms as necessary to keep patients informed of clinic flow
  • Other duties as assigned

REQUIREMENTS:

  • Current BLS certification
  • Successful completion of job related competencies on an annual basis
  • Successful completion of any other training as determined by TCC to be necessary for the position
  • Types at least 40 wpm

EDUCATION &/OR EXPERIENCE:

  • High School Diploma or GED required
  • Successful completion of Medical Assistant Certificate program or equivalent Healthcare related Certificate or Diploma program required
  • Certified Medical Assistant preferred
  • 2 years previous supervisory experience preferred
  • Cardiology medical practice experience preferred
